Refund & Cancellation Policy

This Refund & Cancellation Policy explains how cancellations, refunds, and the late-delivery credit work for website design services provided by Chamelio OÜ, trading as TransformWebsites ("we", "us", "our").
This policy is part of our Terms & Conditions and applies to every Client engagement. Please read it carefully before making any payment to us.
1. Summary
- You have a 7-day cancellation window after paying your deposit, subject to the conditions below.
- Deposits are non-refundable once production work has begun.
- If you cancel mid-sprint, the deposit is retained in full as compensation for work already performed and reserved capacity.
- If we deliver late through our own fault, you receive a EUR €150 per business day credit, capped at the project value.
2. Cancellation Window (7 Days)
After paying your deposit you may cancel the engagement and request a refund within7 calendar days from the date of payment, provided that:
- We have not yet started production work on your project (this includes strategy calls, design exploration, copy work, or development), and
- You notify us in writing at hello@transformwebsites.com within the 7-day window.
If both of those conditions are met, we will refund the deposit in full, less any third-party costs already committed on your behalf (e.g., licensed assets, paid plugins).
If production work has already started before the cancellation request, the cancellation will be treated as a mid-sprint cancellation under section 3 below.
3. Mid-Sprint Cancellation
Once production has started, the project slot is allocated and we begin turning down other Clients to honour the timeline. Because of this:
- If the Client cancels mid-sprint, the deposit is retained in full as compensation for work performed, reserved capacity, and turned-away opportunities.
- The final 50% balance does not become due if the Client cancels before launch and we have not delivered the website.
- Any work product completed up to that point is not transferred to the Client unless the full project value has been paid.
4. Cancellation by Us
We may cancel an engagement if:
- The Client materially breaches the Terms & Conditions and does not remedy the breach within a reasonable period after written notice;
- The Client behaves in a manner that is abusive, illegal, or that we reasonably consider damaging to our team or reputation;
- The work falls outside our acceptable use scope (e.g., illegal content, content that violates the rules of our payment processor).
If we cancel for one of the reasons above, no refund is due.
If we cancel for reasons unrelated to Client conduct (for example, we are no longer able to deliver the project), we will refund the deposit on a pro-rata basis for any work not yet performed.
5. Late Delivery Credit
If the agreed launch date is missed because of delays attributable solely to us, the Client receives a credit of EUR €150 per business day of delay, applied against the final balance or the next invoice, capped at the total project value. This is the Client's sole and exclusive remedy for late delivery.
Delays caused by the Client (including late content delivery, late feedback, scope changes requested mid-build, or unavailability for required calls) are not eligible for the credit and may extend the timeline.
6. Care Plan Cancellation
Care Plan subscriptions are billed monthly in advance. You may cancel at any time, effective at the end of the current billing month. Care Plan fees already paid are non-refundable. We will continue to provide service until the end of the paid month and then close the subscription.
7. Chargebacks
If you have a concern about a payment, please contact us first at hello@transformwebsites.com so we can resolve it directly. Initiating a chargeback without first attempting resolution may be treated as a material breach of these Terms and may result in suspension of services and forfeiture of any work in progress.
8. EU Consumer Right of Withdrawal
EU consumers (i.e. natural persons acting outside their trade, business, craft, or profession) have a statutory 14-day right of withdrawal for distance contracts under the EU Consumer Rights Directive. By engaging us and expressly requesting that we begin work before the end of the 14-day withdrawal period, you acknowledge that this right may be lost once the service has been fully performed (Article 16(a) of Directive 2011/83/EU).
Most of our clients are businesses, freelancers, or self-employed coaches who do not qualify as consumers under EU law, in which case this section does not apply.
9. How to Request a Cancellation or Refund
Send an email to hello@transformwebsites.com with the subject line "Cancellation request" and your project name. We will confirm receipt within 2 business days and process any agreed refund within 14 business days of confirmation, using the same payment method you used for the original payment.
10. Acknowledgement
By making a payment to us, you confirm that you have read, understood, and accepted this Refund & Cancellation Policy together with our Terms & Conditions.
